General Summary/Objective:

The Senior Accounts Payable Analyst is responsible for the payment of goods and services purchased by the organization. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed for the purchasing and payment of goods and services.

Duties/Responsibilities:

  • Create new vendor records in NetSuite, ensuring all necessary documentation is received and filed (ex: W-9 forms, vendor onboarding packets, etc.).
  • Review incoming invoices from vendors for accuracy and reconcile discrepancies prior to entering into NetSuite. Utilizing NetSuite, enter vendor invoices and route for approval signatures. Also enter bills for research site activities.
  • Accurately release payments to vendors and research sites in the company’s banking system according to payment due dates. Also process refunds to customers as needed.
  • Analyze monthly expenses to ensure all routine monthly invoices have been received and entered into the accounting system.
  • Enter monthly journal entries for prepaid expenses and intercompany transactions.
  • Review employee expense report activity, ensuring proper authorizations and compliance with company policy. Import credit card transactions into the accounting system.
  • Reconcile monthly credit card statements.
  • Track expenses that are billable to clients and communicate with internal parties as needed.
  • Process and record stop payments as necessary.
  • Prepare and mail Annual Form 1099/1096 within published deadlines.
  • Provide administrative support to the Corporate Controller and to the Chief Financial Officer, including any assistance required for the annual financial audit.
  • Supervise two part-time Accounts Payable staff members and ensure appropriate staff coverage levels at all times.
  • Train and develop new or inexperienced staff in the Department or BRANY staff as needed.
  • Prepare and submit requested reports / analyses in a timely manner.

Education required:

A minimum of an Associate Degree in Business Administration.

Experience Required:

Five years of Accounts Payable experience is required.

Qualifications:

Applicant must be a capable problem solver with strong communication skills as well as excellent organizational skills. Must be able to multitask and work as part of a team. Must be able to work within the deadlines associated with the financial close process. Applicant should be familiar with Microsoft Excel, and Word. Familiarity with NetSuite is preferred.

*This position requires the employee to work in the Melville office two days per month at a minimum, however additional days may be required as determined by management.

Physical Demands and Environment:

This is a largely sedentary role. Some filing is required involving the ability to lift files, open cabinets and bend or stand as necessary. The position requires the individual to see, talk and hear. The employee is frequently required to use hands, fingers, and reach with hands and arms. This position operates in an office environment using standard office equipment

Salary/Exempt Status:

$32.97 – $39.56 per hour/Non-Exempt
